Job Card: What It Means in a UK Workshop (and How It Differs From a Work Order)

A job card is a workshop's record of a single piece of work. It captures the customer and machine on intake, the fault and diagnosis in the middle, and the parts used, labour time, and customer sign-off at close. One piece of work, one card.

In UK workshops — agricultural machinery repair, plant equipment, fabrication, hydraulics, vehicle repair — the job card is the operational backbone. Every job has one. The card travels with the job from the moment the machine arrives until the customer collects and signs. Without it, the workshop has no reliable record of what was done, what was billed, and when.

What a Job Card Contains

A typical workshop job card includes:

Customer and machine details

  • Customer name, company, and contact number
  • Machine make, model, and serial number (or vehicle registration for vehicle-based work)
  • Job number — a sequential reference for filing and retrieval

The job itself

  • Fault description — what the customer reports on intake
  • Work carried out — what was actually done, in enough detail to be useful 6 months later
  • Technician name — who did the work

Parts and costs

  • Parts used — part number, description, cost price, quantity
  • Labour time — hours worked, at which labour rate
  • Additional charges — subcontract work, specialist tools, delivery

Sign-off

  • Customer signature on collection, confirming work was done and the machine is returned
  • Date of completion

Not every job card includes all of these — a small independent workshop might run a simpler card — but this is the standard set you'd expect to find in a well-run shop.

Why Workshops Use Job Cards

The job card solves a problem that gets invisible when you have it solved and expensive when you don't: tracking what happened to a machine while it was in your care.

Billing accuracy. Parts go onto the card when they're fitted. Labour goes on when the work is done. At close, the card is the invoice — no reconstruction, no relying on memory, no parts that were fitted but not charged. The workshop gets paid for what it actually did.

Job history. When the same customer comes back with the same machine, the history is in the card — or the digital record linked to it. "We replaced the main seal twelve months ago" is a fact you can state with confidence because the card exists, not a memory that might be wrong.

Workshop management. The set of open job cards is the workshop's workload. The owner can see what's in progress, what's waiting on parts, and what's ready for collection without a separate system. In a busy shop, the job board is a visual arrangement of job cards.

Customer communication. When a customer calls asking about their machine, the person who answers can pull the card and give a factual update. When the job is done, the customer gets a copy as their service record.

Job Card vs Work Order

These terms are used interchangeably in some contexts and differently in others. In the UK workshop setting:

A job card is the primary document that lives with the job throughout its life. It's the internal record, the running log of diagnosis and parts, and the final invoice source. The mechanic or technician fills it in as work progresses.

A work order is a term more common in larger engineering, manufacturing, and facilities contexts. It tends to be more formal — a document issued by management or a planning function, authorising specific work to be done on a specific asset. Work orders often have approval stages and cost codes.

In a small to medium reactive workshop, the distinction rarely matters — "job card" and "work order" usually mean the same thing. The job card is both the authorisation and the record. In a larger business (a workshop inside a plant hire company, or a university's maintenance department), you might have a formal work order system with job cards attached to each work order.

Paper Job Cards vs Digital Job Cards

Most UK workshops started with paper. A pad of pre-printed cards, a pen, a clipboard. The card goes in a plastic sleeve and hangs on the board. At close, it goes in a filing tray and eventually a filing cabinet.

Paper works, particularly for a workshop with a low job volume. The problems show up when:

  • Two people need the same information at the same time. The receptionist needs the parts list to give the customer an update; the mechanic needs the card to add more parts. One card, two people — someone has to wait.
  • The card goes missing. A paper card that leaves the board — taken to the yard, left in the machine's cab, misplaced — creates a gap in the record.
  • You need to find an old job. Paper filing is only as good as the filing system. Searching for all jobs on a particular customer's machine from 2023 means physically pulling folders.
  • The invoice needs to go to accounting software. Everything on the card gets retyped into QuickBooks or Xero. For a busy shop, that's hours per month of re-keying that software can eliminate.

What Varies by Industry

The core of the job card is consistent — customer, machine, work done, parts, cost — but the details vary by industry.

Vehicle repair workshops typically include vehicle registration, mileage on intake, MOT status, and work carried out against specific service categories. A job card from a car workshop will look different from one in an agricultural machinery shop.

Agricultural and plant equipment workshops tend to focus on machine serial numbers (not registrations), attachment identifiers, and seasonal work patterns. A combine harvester's card at harvest season might run to multiple pages.

Hydraulics and fabrication workshops often track whether work was carried out under warranty, whether a subcontract element was involved, and the specifications of custom fabricated parts. The job card becomes a manufacturing record as much as a service record.

Vehicle job card formats for commercial vehicle repair (HGV, van fleet, bus) include additional fields relevant to transport operators — driver name, fleet number, DVSA reference where applicable.

The common thread is that every version is doing the same job: creating a reliable, searchable record of what happened to an asset while it was in your care.
