Job Card Template for Mechanics: Free Download with Parts and Labour Tracking
Search for a mechanic's job card template and you'll find automotive formats — MOT checklists, vehicle service sheets, car body diagrams with areas to circle. Useful if you run a car garage. Not useful if your workshop repairs hydraulic rams, rebuilds gearboxes on excavators, or fabricates structural steel.

What Makes a Mechanic's Job Card Different From a Generic Template
Generic job card templates — and especially automotive ones — assume certain things about your work that may not apply:
Automotive templates assume vehicle data
Car garage templates include VRM (vehicle registration mark), MOT due date, mileage, and often a vehicle diagram. None of this applies to a workshop rebuilding a hydraulic power pack or repairing an agricultural baler. Your job card needs machine identification — make, model, serial number, engine/PTO hours — not a registration plate.
Generic templates skip cost tracking
Most free templates have a single "description of work" text box and a "total" field. For a mechanical workshop where a single job might use £500 in parts from three different suppliers, you need line-item parts tracking with individual costs, supplier references, and quantity. Without this, you can't calculate per-job profitability — you're invoicing based on estimates, not actuals.
Workshop jobs need authorisation records
Mechanical work regularly uncovers additional faults. You strip a pump to replace a seal and find the shaft is worn beyond tolerance. The template needs a clear section for recording what was found, when the customer was notified, and how they authorised the additional work. This matters for billing disputes and protects both the workshop and the customer.

The "owner vs. operator" distinction matters more in non-automotive mechanical work than most templates acknowledge. A plant hire company might send a machine with a hire driver, but the invoice goes to the hire company, not the driver. Agricultural contractors sometimes operate machinery owned by the farmer. Getting this wrong means chasing the wrong person for payment.

Fault and work description
- Fault as reported by customer: Write exactly what the customer said. "It's leaking oil" is different from "the hydraulic ram on the front loader is leaking from the gland seal." Both are valid — the first just needs more diagnosis.
- Fault as diagnosed: What the technician found after inspection. This is the technical description that informs the parts order and estimate.
- Work to be carried out: Specific actions — "strip hydraulic ram, replace gland seal kit, re-assemble, pressure test." Clear enough for another technician to pick up if the first one is unavailable.

Each part on its own line. Include the supplier reference — this makes reordering faster and helps if a part turns out to be wrong and needs returning. The line total column lets you calculate per-job parts cost without a calculator.

Log hours per day, not just a total. This shows the actual work pattern and helps with quoting accuracy on similar future jobs. If multiple technicians work on the same job, each gets their own rows.

The practical limit of spreadsheets is search — finding a specific job from 6 months ago by customer or machine serial number gets slow once you have hundreds of entries. That's the point where a dedicated digital job card system starts to make more sense.
Adapting the Template to Your Vertical
Agricultural machinery workshops: Add fields for PTO hours, tyre/track condition notes, and seasonal urgency flags (harvest-time breakdowns need same-day turnaround).
Plant and construction equipment: Add hire company reference, site location (where the machine normally operates), and inspection due dates under LOLER (Lifting Operations and Lifting Equipment Regulations 1998) or PUWER (Provision and Use of Work Equipment Regulations 1998) if applicable.
Hydraulics specialists: Add hydraulic fluid type, system pressure readings (before/after), and test certification references.
Fabrication shops: Replace the "fault" section with a "specification" section — material type, dimensions, drawing reference, finish requirements. Add a QC sign-off step.
Marine engineering: Add vessel name and registration, port of registry, and classification society survey references if relevant.
The core template stays the same — customer, machine, parts, labour, sign-off. The vertical-specific fields make it fit your actual workflow instead of forcing your workflow into a generic format.
