What Is a Job Card? A Plain-English Guide for UK Workshops
A job card is the document — paper or digital — that records a single piece of work from start to finish. It captures who the customer is, what machine came in, what was wrong, what was done, what parts and labour it took, and what it cost. In a workshop, the job card is the thread that ties a job together from the moment it arrives to the moment it's invoiced.
If you run a workshop, you almost certainly already use job cards in some form, even if you call them job sheets, work tickets, or just "the cards." This guide explains what a job card is, what belongs on one, and how it fits into the day-to-day of a UK workshop.
What a Job Card Is For
A job card does three jobs at once:
It's a working instruction. When a technician picks up a job, the card tells them what machine it is and what's reported wrong. It's the brief for the work.
It's a cost record. As the work happens, parts and labour get logged on the card. By the time the job's done, the card holds everything needed to produce an accurate invoice — no guesswork.
It's a history. Once filed (or saved), the job card becomes a permanent record. When the same machine comes back, or a customer queries an old bill, the card is the answer.
That combination is what makes the job card the central document of a workshop. A whiteboard tells you what's happening now; the job card tells you the full story of each job, including the ones finished last year.
What Goes on a Job Card
A typical workshop job card captures:
- A job number — a unique reference to find the job again
- Customer details — name, phone, address
- Machine details — make, model, serial or registration
- The reported fault — what the customer says is wrong
- Work carried out — what was actually done
- Parts used — description, quantity, cost
- Labour — technician and hours
- Completion and total — sign-off date and the final cost

Job Card vs Work Order: What's the Difference?
These two terms cause a lot of confusion because they overlap.
A work order is, strictly speaking, the authorisation to carry out work — a document that says "this job is approved, proceed." It's common in larger operations and maintenance departments, where someone has to sign off the work before it starts.
A job card is the record of the work — what was done, by whom, with what parts, at what cost. It's the document that travels with the job and ends up feeding the invoice.
In a large organisation the two are separate: a work order authorises, then a job card records. In a small reactive workshop, the job card usually does both — the act of creating the card and putting it on the board is the authorisation, and the same card records the work. So if you've ever wondered whether you need both, the answer for most workshops is no: one well-designed job card covers both roles.
How Job Cards Work in a Reactive Workshop
The way job cards flow through a workshop depends on how the workshop operates. In a reactive workshop — agricultural repair, plant, fabrication, hydraulics, marine — work arrives unpredictably: a phone call, a walk-in, a breakdown towed in. The typical flow is:
- Work arrives, and someone writes a job card — customer, machine, fault.
- The card goes on the board (a whiteboard, pegboard, or wall).
- Technicians look at the board and pick jobs based on skills and which parts have arrived.
- As work progresses, parts and labour go on the card.
- The completed card goes to whoever does the invoicing.
There's no schedule and no dispatch — the board and the cards are the system. This is a fundamentally different model from field-service trades, where jobs are booked into a calendar and dispatched to technicians in the field. Paper Job Cards and Their Limits
Most workshops start with paper job cards, and for good reason — they're cheap, simple, and need no training. But paper has well-known limits:
- Cards go missing, and a lost card is a lost invoice.
- History is hard to search — finding last year's job on a machine means digging through a filing cabinet.
- Everything gets re-keyed into the accounts by hand at month-end.
These aren't reasons to abandon job cards — they're reasons to consider a better medium for them.
