Workshop Job Cards: Pads or Digital?
A workshop job card is the document that follows a repair from the moment the machine arrives to the moment it's invoiced. You can buy them as pre-printed carbonless pads, print your own from a template, or run them digitally. Most UK workshops end up on the first option by default rather than by decision.
This post covers what each format genuinely costs, what it does well, and the specific signals that tell you it's time to change. It's not an argument that paper is bad — for plenty of workshops it's still the right call.
The Three Formats
Pre-printed carbonless pads
The traditional option, and still widely sold. Carbonless (often called NCR) pads work by transferring what you write on the top sheet onto the copies beneath, so one act of writing produces two, three, or four identical records — one for the customer, one for the office, one that stays with the machine.
The formats on offer from UK print suppliers are fairly standardised:
- Duplicate (2-part), triplicate (3-part), or quadruplicate (4-part) sets, in various paper colour sequences so each copy is visually distinct
- A5 (148 × 210mm) or A4 (210 × 297mm), with custom sizes generally available
- Typically 50 sets per pad, glued along the top with a stiff backing board, and an attached wrap-around writing shield usually available as an option to stop the pen carrying through to the next set
Custom printing with your logo, terms, and your own field layout is widely offered rather than a premium extra, and most suppliers will work from a stock template you modify.
Strengths: works with no power, no signal, and no training. Survives being clipped to a muddy machine. The customer copy is a genuinely useful artefact — they can sign it on collection. Adoption is rarely the problem with a paper pad.
Weaknesses: the record only exists where the paper is. It can't be searched, it can't be in two places, and it has to be re-typed into your accounts by hand.
A template you print yourself
A PDF or spreadsheet template you print on plain paper, either in batches or per job.
Strengths: free, and you can change the layout the same day you decide it's wrong. That last point matters more than it sounds — most workshops discover their card is missing a field only after using it for a month, and a pre-printed pad locks the layout in for however many hundred sets you ordered.
Weaknesses: no carbon copies, so a second copy means a second trip to the printer. Loose sheets go missing more readily than a bound pad. And you're now maintaining a printer as a piece of workshop-critical equipment.

Digital job cards
The card lives in a system rather than on paper. Parts and hours get added as the job runs, and the finished record feeds invoicing directly.
Strengths: searchable history, visible to everyone at once, and no re-keying at month end. When a customer rings about a machine you worked on eighteen months ago, you can answer.
Weaknesses: it has to be adopted. Software the technicians won't use produces worse records than paper, because now the information is split between two places. It also has a running cost where a pad is a one-off.
What Each Format Actually Costs
The purchase price is the least interesting number here. Pads are inexpensive; the cost of paper job cards is almost entirely elsewhere.
Re-keying. Every completed card gets typed into accounting software by someone. In a workshop turning over a few hundred jobs a year, that is days of work annually, and it's the same information being entered twice.
Invoicing delay. Paper cards accumulate and get processed in a batch, which is why so many workshops invoice two or three weeks behind the work. That's a cash-flow cost, not an admin one, and it's usually the largest single item.
Lost history. A filing cabinet is technically a record system, but nobody searches it. The practical effect is that returning machines are diagnosed from scratch, and quoting is done from memory rather than from what the last three similar jobs actually cost.
Unlogged parts. Parts fitted late in a job, after the card has gone to the office, tend not to get added. This is the quiet one — it reduces margin on jobs that look fine on paper.

When to Stay on Paper
Under roughly 3 staff, paper generally wins. Everyone knows what's in the workshop, the cabinet is small enough that finding last year's job is realistic, and month-end is an afternoon. The switching cost is real and the gain is small.
Paper also wins in specific conditions regardless of size: no reliable power or signal at the point of work, a workforce that genuinely won't use a phone for record-keeping, or a business where the customer signature on a physical copy carries weight in your sector.
The Signals That It's Time to Change
These are the concrete ones, not the vague "as you grow" version:
- Parts are being fitted but not appearing on invoices
- A customer asks about a previous repair and nobody can answer without a filing search
- Invoicing runs consistently more than a week behind completion
- Two people phone each other to ask what state a job is in
- The whiteboard and the cards disagree about what's in the workshop
- Someone is spending a full day a month re-typing cards into the accounts
One of these is normal. Three or more and the paper system is costing more than it saves.
