Free Job Sheet Template for Workshops: Build, Customise, and Use Today

Most free job sheet templates online are built for field service trades — plumbers attending callouts, electricians doing house rewires. They include fields for site address, travel time, and customer signatures at the door. None of that applies when you run a workshop where the machines come to you.

This template is built specifically for reactive workshops: agricultural machinery repair, plant equipment, fabrication shops, hydraulics, marine engineering. The sections match how a workshop job actually flows — from the moment a machine arrives to the point you invoice the customer.

What a Workshop Job Sheet Template Needs (That Generic Ones Miss)

Generic templates cover the basics — customer name, job description, date. Workshop-specific templates need more:

Machine identification

Workshop jobs are tied to machines, not addresses. Your template needs:

  • Machine make, model, and serial number (or registration for road-going plant)
  • Owner vs. operator — critical for agricultural contractors and plant hire companies where the person who delivers the machine isn't the person who pays the invoice
  • How the work arrived (walk-in, breakdown tow-in, phone call, scheduled service)

Generic templates have an "address" field. You need a "machine" field. This distinction matters for job history — when the customer calls asking "what did you do to our JCB last autumn?", you search by machine, not by address.

Parts tracking with costs

Every part used on a job needs logging individually:

Most generic templates have a single "materials" text box. That's useless for calculating per-job costs accurately. You need line items with costs so the total parts figure feeds directly into your invoice.

Labour tracking per technician

In a workshop, multiple technicians might work on one job, and one technician might split their day across several jobs. Your template needs:

  • Technician name
  • Hours worked on this job (not clock-in/clock-out — actual time spent)
  • Hourly rate (if different by skill level)
  • Labour total per technician and per job

Additional work authorisation

Workshop jobs often grow. You start replacing a seal and find the bore is scored. The template needs a section for:

  • Additional faults discovered (description)
  • Customer authorisation (who approved, when, how — phone, email, in person)
  • Estimated cost of additional work

Without this, you're vulnerable to disputes: "I never agreed to that extra work." A timestamped authorisation record on the job sheet protects both sides.

Completion and sign-off

  • Job status (use clear categories: Incoming, In Progress, Awaiting Parts, Done)
  • Technician sign-off (confirmation the work is complete and safe)
  • Date completed
  • Total cost summary (parts + labour + any subcontracted work)

Paper template

If you prefer to print blank templates and fill them in by hand, you need a template with enough space for:

  • 6-8 parts line items (with cost columns)
  • 2-3 technician time entries
  • A clear "additional work" section with authorisation fields
  • A sign-off and total section at the bottom

Print on heavier paper (120gsm minimum) if your workshop environment involves oil, coolant, or outdoor work. Standard 80gsm printer paper doesn't survive a workshop floor.

How to Customise Your Template

No template works perfectly out of the box. Adapt it to your workshop:

Add your workshop's job numbering. Use a sequential reference (JC-001, JC-002) or a date-based format (2603-001 for the first job on 26 March). Consistent numbering makes it easier to cross-reference with your accounting software.

Add machine-specific fields for your vertical. Agricultural workshops might add "PTO hours" or "engine hours." Plant workshops might add "hire company reference." Fabrication shops might add "material specification" and "drawing reference." These aren't universal — they're specific to your work.

Remove irrelevant sections. If you never subcontract work, remove that section. If every job is a walk-in, you don't need a "how work arrived" field. Shorter templates get filled in more consistently.

Add your terms. Print your payment terms, warranty conditions, and business contact details on the template footer. This turns every job sheet into a professional document that doubles as a delivery note.

When Templates Aren't Enough

Paper templates solve one problem — giving your job records a consistent structure. They don't solve the bigger problems:

You still re-key everything. At month-end, someone sits down with a pile of completed job sheets and manually types every one into QuickBooks or Xero. For a workshop doing 40-60 jobs per month, that's a full day of data entry — plus the errors that come with reading handwritten notes.

You can't search history. "What parts did we fit to that pump last year?" With paper, that means physically searching through a filing cabinet. With a digital system, it's a 2-second search.

Cards still go missing. Oil, coolant, rain, and general workshop handling mean paper gets damaged or lost. Every lost job sheet is an uninvoiced job.
